How to Create Mailing Lists Without Duplicate Household Contacts
We’ve made it easier to prepare clean, efficient mailing lists by eliminating duplicates for households. Here’s how to use this new feature.
The Challenge
When generating mailing labels or preparing mailings, you may end up with duplicates because spouses' contacts (that share the same address) are both included. This feature helps you send one mailing per household instead of multiple.
How to Use the Feature
-
Search: Start with any contact search to build your list of recipients.
-
Select: You can “Select All”, or pick specific ones as needed.
-
From the Actions dropdown, choose “Prepare List for Mailing”.
-
This will automatically filter out all the non-primary spouse contacts, leaving only one contact per household on your list.
-
-
A new group will be automatically created by the CRM, with a default name (you can rename it if you’d like). The group will contain the filtered list of contacts.
-
Export for Mailing: Once your group is refined, you can export it for mailing labels or use it for your other mailing needs, confident that there are no duplicate entries of spouses.
Additional Notes
-
This action only works for contacts who are specifically marked as spouses in your database. If the "spouse of" relationship isn't set, the system won't remove them, even if they share the same address and last name. Make sure to correctly set the "spouse of" relationship for this feature to work properly.
-
If the same person appears more than once in your list (for example, if a contact is accidentally duplicated in your database), this action will not remove these duplicates. You’ll need to manually address and remove identical entries.
